1. Scope and contract

These terms apply to individual activities, excursions, guided experiences, transfers and other stand-alone services supplied by Arctic Adventure to a guest or consumer. They do not replace mandatory consumer rights. Where a booking constitutes a package travel arrangement under Swedish law, the separate Package Travel Booking Conditions apply together with mandatory law.

A booking becomes binding when Arctic Adventure issues a written booking confirmation. The customer must check the confirmation promptly and notify Arctic Adventure without undue delay of any error in dates, participant numbers, services or other booking details.

2. Prices and payment

Prices are stated in Swedish kronor (SEK) unless otherwise specified and include Swedish VAT where applicable. The booking confirmation states what is included in the price.

Unless otherwise stated in the booking confirmation, final payment is due no later than 15 days before the activity. Bookings made less than 15 days before the activity must be paid in full at the time of booking. Arctic Adventure may cancel an unpaid booking after giving reasonable notice that payment is overdue.

3. Right of withdrawal for dated leisure activities

Bookings for leisure activities that are to be provided on a specific date or during a specific period are normally exempt from the statutory 14-day right of withdrawal under Swedish distance-contract legislation. The cancellation rules below therefore apply from the time the booking is confirmed, unless mandatory law provides otherwise.

4. Cancellation by the customer

Unless the activity description or booking confirmation contains a special cancellation policy, the following standard cancellation charges apply to the cancelled services:

Cancellation receivedCancellation charge
More than 30 days before the activityNo cancellation charge
30-15 days before the activity100% of the cancelled booking value
14-8 days before the activity100% of the cancelled booking value
7 days or less before the activity100% of the cancelled booking value
No-show or missed activity100% of the cancelled booking value

A cancellation is effective when received by Arctic Adventure. Customers are encouraged to cancel in writing. Where Arctic Adventure can reasonably resell a cancelled private activity or otherwise avoid a material part of the expected cost, Arctic Adventure may reduce the cancellation charge where appropriate.

5. Changes requested by the customer

Arctic Adventure will make reasonable efforts to accommodate changes to date, time, participant names, group size or activity. A change is subject to availability and may result in a price adjustment. Direct costs caused by a requested change may be charged to the customer. A material change that cannot be accommodated may be treated as a cancellation under section 4.

6. Changes or cancellation by Arctic Adventure

Safety takes priority over the original itinerary. Arctic Adventure may make reasonable changes to the route, meeting point, location, timing, transport solution, equipment, guide allocation or activity content where this is necessary because of weather, snow, ice, water levels, road conditions, wildlife, local restrictions, operational safety or comparable circumstances.

Where a significant part of the booked activity cannot be supplied, Arctic Adventure will, where reasonably possible, offer an appropriate alternative, a new date or a corresponding price reduction. If Arctic Adventure cancels the activity and no reasonable alternative is accepted or available, payments made for the cancelled service will be refunded. This does not limit rights arising under mandatory law.

7. Minimum participant numbers

Some activities require a minimum number of participants. The applicable minimum is stated in the activity description or booking confirmation. If the minimum is not reached, Arctic Adventure may offer another departure, another suitable activity, a private-tour supplement where relevant, or cancel the activity and refund payments made for the cancelled service.

8. Meeting time, late arrival and no-show

Participants must arrive at the agreed meeting point at the stated time and be ready to participate. A late arrival may lead to a shortened activity if the schedule can reasonably be maintained. If the activity cannot be delayed, the booking may be treated as a no-show. Arctic Adventure is not responsible for additional costs caused by a participant missing an agreed transfer or start time, except where the delay is attributable to Arctic Adventure.

9. Participant responsibilities and guide authority

The designated guide is responsible for the operational conduct of the activity. Participants must follow reasonable safety instructions and use required safety equipment. A participant who refuses to follow instructions, acts recklessly, threatens others, or materially disrupts the activity may be refused participation or removed from the activity where reasonably necessary for safety or orderly operation. No refund is due for the unused part of the activity where exclusion is caused by the participant’s own conduct.

10. Health, mobility and allergies

Outdoor activities may involve cold, heat, uneven ground, snow, ice, water, physical exertion or remoteness from immediate medical care. Before the activity, the customer must inform Arctic Adventure of any medical condition, severe allergy, mobility limitation, pregnancy-related consideration or other circumstance that may reasonably affect safe participation or require an adaptation. Arctic Adventure will make reasonable efforts to advise on suitability and practical adaptations but cannot guarantee that every activity can be adapted to every individual need.

Serious food allergies and dietary requirements must be notified at the time of booking or as early as reasonably possible. Arctic Adventure cannot guarantee an allergen-free environment unless this has been expressly confirmed in writing.

11. Alcohol, drugs and impairment

A participant must not operate a vehicle, boat, snowmobile or other equipment while impaired by alcohol, drugs, medication or any other condition that makes participation unsafe. Arctic Adventure may refuse participation without refund where there are reasonable safety grounds.

12. Age limits, children and supervision

Age limits, child rates and supervision requirements vary between activities and are stated in the individual activity description or booking confirmation. A parent, guardian or other responsible adult must ensure that a participating minor follows safety instructions. Arctic Adventure may require a guardian’s consent for participation by a minor.

13. Driving licences and legal requirements

Participants who operate snowmobiles, ATVs, snowmobiles, boats or other vehicles must meet all applicable legal and activity-specific requirements and must present a valid driving licence, permit or other required documentation when requested. Failure to meet a legal requirement may result in refusal of the driving component without refund where Arctic Adventure could not reasonably provide an equivalent alternative.

14. Equipment and personal property

Participants must use supplied equipment with reasonable care and follow instructions for its use. A participant may be charged the reasonable repair or replacement cost for equipment deliberately damaged or lost through negligence. Normal wear and tear is excluded.

Participants remain responsible for their own personal property unless loss or damage is caused by Arctic Adventure in circumstances giving rise to liability under applicable law. Suitable travel and personal-property insurance is recommended.

15. Natural conditions and no guarantee of sightings or catches

Arctic Adventure operates in natural environments. Wildlife sightings, Northern Lights, fish catches, snow quality, ice conditions, water levels and other natural phenomena cannot be guaranteed. Failure of a natural phenomenon to occur is not by itself a defect in the service where the activity has otherwise been delivered as agreed.

16. Clothing and personal preparation

Participants are responsible for bringing clothing and personal items identified in the activity information. Arctic Adventure may refuse or modify participation where inadequate clothing or equipment creates a material safety risk and a suitable alternative cannot reasonably be provided.

17. Insurance

Participants are strongly advised to hold adequate travel, accident, medical and personal-property insurance appropriate to the booked activity, including insurance covering cancellation where desired.

18. Unavoidable and extraordinary circumstances

Arctic Adventure is not liable for loss caused solely by unavoidable and extraordinary circumstances beyond its reasonable control, such as extreme weather, wildfire, flooding, unsafe ice conditions, major road closures, government restrictions, war, civil disturbance, epidemics, strikes or major infrastructure failures, except to the extent mandatory law provides otherwise. Arctic Adventure will take reasonable steps to reduce the impact on the booked service and will apply the cancellation and refund provisions in these terms and mandatory law.

19. Complaints and remedy

Any problem arising during the activity should be reported to the guide or Arctic Adventure as soon as reasonably possible so that Arctic Adventure has an opportunity to remedy the situation. Complaints after the activity should be submitted in writing to info@arcticadventure.se without undue delay and should include the booking reference and a clear description of the issue.

20. Liability

Arctic Adventure will provide the service with reasonable care and in accordance with applicable safety requirements. Participation in outdoor activities involves inherent risks that cannot be eliminated entirely. Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from Arctic Adventure’s own negligence where mandatory law imposes such liability.

21. Personal data

Personal data is processed for booking administration, service delivery, safety, accounting and other legitimate business purposes in accordance with applicable data-protection law and Arctic Adventure’s privacy information. Health or dietary information is handled only to the extent reasonably necessary for the requested service and safety arrangements.

22. Governing law and disputes

These terms are governed by Swedish law. Mandatory consumer rights are not affected. A consumer may have the right to refer a dispute to the Swedish National Board for Consumer Disputes (Allmänna reklamationsnämnden, ARN) or another competent alternative dispute-resolution body. A dispute may also be determined by a competent court under applicable jurisdiction rules.

Important: The activity description, booking confirmation and any written special terms form part of the agreement. If a special term conflicts with these general terms, the special term applies to the extent permitted by mandatory law.
